Terms & Conditions

                                              BOOKING CONDITIONS FOR SERVICED ACCOMMODATION

General

These conditions define the basis on which an accommodation booking is made between the person making the booking (hereinafter referred to as the customer) and Airds Farm (hereinafter referred to as the proprietor).   Booking of accommodation constitutes a legal contract between the customer and the proprietor.    The basis of the contract is that the proprietor is bound to make available the accommodation as agreed and the customer is bound to pay the agreed value of the booking.

Booking

A booking shall be deemed to have been made when a request for accommodation by a customer is made and accepted by the proprietor.  A booking may be made either by telephone, letter, or e-mail and the booking conditions shall apply irrespective of the means of booking.

Bookings, once made are subject to procedures as set out below in regard to cancellation & variation.

Deposit

A deposit of 25% of the value of the booking, subject to a minimum of the value of the first night’s stay shall normally apply on booking

Cancellation

If for any reason the customer seeks to cancel the booking the following conditions apply: -

Prior to 6 weeks from date of arrival                                                                      Deposit only due.

Within 6 weeks of date of arrival                                                                            75% of total value of booking due#

In all cases the proprietor will make every effort to re-let the booked accommodation and if successful will reimburse the customer in full less a small fee for costs incurred.

#  By Law the proprietor is entitled to seek compensation for loss of profit, but must make appropriate adjustment for costs saved e.g. food/laundry.   The proprietor assesses this saving at 25% of the value of the booking.

Variation

Where the customer having booked accommodation seeks to vary the booking in respect either of dates of stay or number/type of persons staying, the proprietor will make every effort to accommodate the required changes.   The proprietor, however, reserves the right to make a charge for any reduction in value of the booking on the same basis as a cancellation.

Special Bookings

In certain circumstances such a large party bookings, events bookings, wedding parties etc.  special rates and terms may be applicable and quoted as a fixed price.   In these circumstances no refund will normally be offered in the event of cancellation.

Insurance

We strongly advise customers to acquire holiday insurance to cover cancellation and other risks either with a company of your own choice or our recommended insurers.    A leaflet with application form is normally enclosed with this form, but in case of any difficulty please contact Airds Farm or see our website for a link to our recommended insurer.

Arrival & Departure

The time of arrival on the day of entry shall normally be between 5.00 pm & 7.00 pm .   Early or late arrivals can be accepted by arrangement.   Your room will be held in all cases.

 Departure must be made by 10.00am on the day of leaving to allow the proprietor to service the accommodation.

Smoking

Smoking is not permitted within the guest house.

Pets

Dogs (or other pets) may be brought to Airds but are not allowed within the house (except guide dogs).  Where dogs are brought the following conditions must be met.

1.        They should be well behaved and under control at all times and do not represent a risk or annoyance to the proprietor and his staff, other customers and visitors.

2.        Dogs should be kept on a lead and under control within the steading and within the proximity of poultry or other animals.

If there is any likelihood that dogs left in vehicles or trailers overnight may bark due to unfamiliar surroundings, presence of persons or other dogs (including the proprietor’s dogs) or any other reason, the vehicle or trailer in which they are housed should be parked  in the lower car park to avoid disturbance to other customers.

Areas of open land and woodland are available in the near vicinity upon which dogs may be allowed to run, subject only to a duty of care in respect to stock that may be present in adjacent fields.

Safety

Airds Farmhouse is situated within the Airds Farm steading and although many of the buildings are no longer used for agricultural purposes, farm activities are still carried out to a limited extent.  The garden to the house that is available for customers’ enjoyment, is steep in places and includes steps and a pond.   For safety reasons the following rules must be observed: -

·          Children must be kept under supervision at all times.

·          Buildings, barns sheds etc. must not be entered.

·          Where tractor operations are in progress keep well clear of the area.

·          Where stock handling operations are in progress ensure a safe distance is kept.

·          Keep well away from cattle in fields unless you have experience of farming.   In particular dogs must not be allowed to run free around stock of any sort.   Cows with young calves at foot are a particular hazard and must not be approached.   It is entirely the customer’s responsibility to ensure that he/she and all members of his/her party are aware of these risks and the Owner shall not accept any liability for loss or injury occasioned by failure to observe the foregoing.

Data Protection

It is implicit in this contract that the customer agrees that data provided by him may be held on a computer database.  The owners undertakes not to supply any such information held to any third parties without the express permission of the holidaymaker.

Disability Legislation

In compliance with the law, Airds Farm does not discriminate in respect of gender, creed or disability.   Pre-existing conditions, such as winding stairs and narrow passageways, however, do not allow us to cater for all types of disabilities.   It is the responsibility of the customer to notify the proprietor of any special access or other needs so that they may be advised of any unavoidable limitations or restrictions affecting their stay.    The proprietor will make every effort to provide whatever assistance and support is required by customers.

Complaints

Every effort is made to ensure that everything is in proper order.   Should your expectations not be met in any respect please bring  this to the proprietors’ attention.
